Tips for using the Portal


The Edit Pencil - Click this to edit certain aspects of a field. If a member / employee hasn't been linked to anything specific (see below), you can use this to edit someone out for a new member / employee. Or change an order field, like a zip code. Or if the order is for a prospective hire, you can even change it out for someone new (if the original order hasn't been used).
Clearinghouse - FMCSA Companies Only - If you have linked your Clearinghouse portal with our consortium (selected Quality Consortium Services as your C/TPA in the Clearinghouse), clicking YES will allow us to query the system for you. Clicking NO means you will query the system yourself.
NOTE - If you have not linked us as your C/TPA in the Clearinghouse, clicking YES here does nothing, since we cannot access your account in the Clearinghouse.

Clearinghouse Consent Form - FMCSA Companies Only - Each driver must have a Consent form on file with your company to perform the annual queries. We have streamlined this process for you! Once you have fully hired the driver, click this link icon from the Members page. Copy the link and email it to them (or have them fill it out in office). This will generate a PDF document for your records, and capture the data we need to process the annual queries. You can see who has filled out the forms by clicking the Consent Form drop down menu.
NOTE - only do this step after they are fully hired and have passed the pre-employment drug test. Once this step is complete, you cannot edit or change the drivers information. If you need to replace them, they must be deleted, you are no longer able to edit their name and ID number for someone else.

Drug Test Results - Once their results are posted, you will see this icon in the Orders page (you will also receive an email to inform you that new results are ready for viewing). Click on it to download a PDF of their drug test results. You must do this within 30 days, after such time they will be deleted from on our servers.

Status - On the Member page, you'll notice the Status indicators. If a Member is added via the Add New Member button, they are automatically brought in as Active (someone who is already working for the company for example). If a drug test is ordered for a Prospective Member, they are listed as Pending, since the results of their drug test will likely indicate if you will bring them on board.
You can change the status of an Active member to Suspended if they will no longer require random testing for an extended period (seasonal worker, leave of absence, etc). When they return to Active duty, they will require a new pre-employment drug test, prior to engaging in safety sensitive duties.
NOTE - we may also mark someone as Suspended if they do not perform a required Random Drug test. If this is the case, you will not be able to mark them as Active since they are in violation of CFR Part 40. Once the required test is performed, we will change them back to Active.

Export Members - If you are required to provide a list of current employees / members, to a DOT agency or insurer, simply click this button to download a PDF copy.

Many companies prefer the Combined Pool for testing, making it the default option. However, those with a larger workforce might opt for a Private Pool, where only their employees are tested. To make this switch cost-effective, you are required to have at least 15 members per quarter.
